Measures in response to COVID-19
As the coronavirus is spreading across the world, since February our university has responded this unprecedented situation and committed both to infection prevention and to university management. We deeply appreciate your understanding, support, and effort without which we would not have been able to conclude the spring semester today.
At the same time, the worrying situations across the world remind us that there are still going to be further challenges ahead over a significant period of time. Therefore, we still need to remain alarmed and committed to university management with the health and safety of all members of our university community at the top of our minds. The following is the measures in effect from Friday, August 21. We will appreciate your continued understanding and cooperation.
1. Required measures for prevention of the spread of COVID-19
i. Take all possible measures in everyday life to prevent infection and infecting others.
a) Always keep infection control in mind including the following:
– To avoid “3Cs” (i.e. crowded places; close-contact settings; confined and enclosed spaces);
– Not to have meals in a group setting;
– Not to participate in events that involve loud speaking (e.g. restaurants, karaoke, sport
events).
b) Avoid visiting cities/areas and facilities with high risks of infection.
ii. When infection with COVID-19 is suspected, take all appropriate measures to prevent infecting
others, strictly follow instructions given by medical experts and institutions, and also inform
the university of the situation.
iii. Keep taking your health and activity record.

iv. Installation of COCOA (Covid-19 Contact Confirmation Application) is strongly recommended.
2. Measures for the fall semester
Courses for the fall semester will be delivered either online or in person, although a larger number
of courses may be online rather than in person for the purpose of preventing the possible spread
of COVID-19. In the case of in-person courses, the utmost care should be taken to secure the
health and safety of students and the faculty members.
Students and the faculty members should check the university website on the regular basis
for latest information, including further details of course delivery.
3. For students living away from Hiroshima
During the fall semester, there are both online and in-person courses. Therefore, those students
who live away from Hiroshima should prepare for moving to Hiroshima in time for the start of the
fall semester.
4. Research and art activities
Students and the faculty members are strongly recommended to work at home unless absolute
necessary. In the case that you need to work at university, you must take extra care for infection
control with the following in mind.
5. For students
i. Commuting to university
a) Keep taking your health and activity record, and submit it whenever requested.
b) In the case of working at university for research and art activities, the following should be
kept in mind:
– Do not commute to university when infection with COVID-19 is suspected;
– Do not commute to university if you first develop suspicious symptoms within a week and it
has been less than three days since the symptoms disappear;
– Make sure that you wear masks and refrain from conversation in public transport;
– Always take preventive measures such as wearing masks, washing and sanitizing your
hands, and avoiding “3Cs”.
c) Please note that the university is closed on August 21, August 24, and September 11.
ii. Off-campus activities
a) Keep taking activity record, and submit it whenever requested.
b) Do not organize or participate in events in a group setting for the time being, such as meals
and traveling.
iii. Traveling
a) Do not travel abroad for the time being.
b) Avoid traveling to cities/areas with high risks of infection unless absolute necessary such as
visiting families. In the case of traveling, take extra care for infection control, regardless of
destination. It should be kept in mind that if a state of emergency is declared, you will likely
be required to stay home for two weeks after traveling back to Hiroshima Prefecture,
therefore, not being able to commute to university.
6. For the faculty members and staff
i. Commuting to university
a) The faculty members and staff are recommended to work from home to secure infection
prevention.
b) In the case of working at university, the following should be kept in mind:
– Do not commute to university when infection with COVID-19 is suspected;
– Make sure that you wear masks and refrain from conversation in public transport;
– Always take preventive measures such as wearing masks, washing and sanitizing
your hands, and avoiding “3Cs”.
ii. Traveling for work
a) Do not travel abroad for the time being, unless absolute necessary.
b) Avoid traveling to cities/areas with high risks of infection unless absolute necessary such as
visiting families. In the case of traveling, take extra care for infection control, regardless of
destination.
c) Take extra care for infection control during any off-campus activities such as fieldwork.
7. University events
All university events that are already scheduled will be reconsidered so that they take place online
or, if not, with appropriate measures for infection prevention. In the case of organizing university-
related events, prior consultation is required with the university’s Executive Board. (Please contact
Deputy Director-General.) Please note that prior consultation with Hiroshima Prefecture is
necessary when organizing an event with over 1,000 participants or those for which participants
need to travel from other prefectures.
